Duties and Responsibilities
- Answer phones on a multi-line system and direct calls appropriately
- Greet clients and guests as they arrive at the office
- Prepare the boardroom for meetings and escort guests to their destinations
- Handle clerical tasks, including filing and maintaining record systems
- Prepare reports and correspondence
- Ensure general office maintenance (watering plants, keeping the office tidy, etc.)
- Provide support to senior managers
- Format documents and create materials using MS Word and Excel, as well as proofread and edit documents
- Assist with personal errands as needed (e.g., drop-off/pick-up dry cleaning, lunch, groceries)
- 1+ years of experience as an Administrative Assistant
- Valid driver's license
- Access to a reliable vehicle
- Quick learner with the ability to adapt to a new industry
- Calm and professional demeanor in a fast-paced environment
- Strong interpersonal skills to build rapport with clients and customers
- Proficiency in Microsoft Office Suite and other software (MS Word, Excel, PowerPoint, Google Docs, Canva, etc.)
- Comfortable with computers, smartphones, and tablets, and willing to learn new applications
- Strong research skills with the ability to present data clearly and concisely
- Capable of working independently with discretion
- Excellent management, time-management, problem-solving, writing, editing, grammatical, organizational, and research skills
